Position Summary:
As an integral part of HR operations, provide comprehensive and professional support to our caregivers, management, and HR partners.
Utilize excellent customer service skills while providing accurate and timely responses to inquiries and requests.
Conduct varied transactional and related Human Resources functions while maintaining necessary confidentiality of information.
Education, License & Cert:
Associates or bachelors degree in a related field preferred.
High School diploma or equivalent required
Experience:
A minimum of 1 year of Human Resources or clerical work required.
Computer skills, Microsoft Office software experience required (i.
e.
Excel, Word,
PowerPoint, etc.
).
Must possess excellent communication skills, customer service skills and have the ability to multi‐task and prioritize work in accordance with changing deadlines.
Experience in a healthcare and/or human resources department
highly desired.
Essential Functions:
1.
As a member of the HR Service Center team, provide online phone coverage, respond to email inquiries and escalate complex issues according to established service guidelines.
2.
Delight our caregivers and other internal/external customers with exceptional customer service by promptly addressing inquiries and fulfilling their needs.
3.
In addition to addressing inquiries and addressing caregiver HR related needs, perform a variety of transactional HR operations tasks, which may include:
Scheduling interviews to include travel arrangements, overnight accommodations and/or transportation.
Conducting pre-boarding activities for new hires, including preparing/collecting signed paperwork, facilitating background check completion, education verification, collecting licensure, I-9 documentation, etc.
according to position requirements/Guthrie policy.
Creating the employment file while upholding established checklists and verifying that required documents are included and complete.
Facilitating new caregiver onboarding tasks such as communicating new hire orientation/onboarding schedules and preparing Guthrie employment badges, and maintaining open communication with both new hires and hiring managers.
Conducting engaging in-person and/or virtual new hire orientations.
Ensuring employment files are complete according to departmental guidelines and regulatory requirements by completing file audits for both new hires and transfers.
Greeting applicants, caregivers and walk-in guests and answer inquiries and/or provide assistance, including assisting applicants with online application process.
Performing copying, mailing, and distribution of materials.
Ensuring a consistent supply of high-quality new hire and transfer packets, and other documents as needed.
Composing original correspondence as needed.
Maintaining departmental filing system, including retrieving files from offsite archives as needed, and preparing files to be archived.
Ordering office supplies for Human Resources.
Processing invoices/requisition requests and relocation invoices/requests.
Other Duties:
Participate in recruitment events as requested.
Assist with and/or carry out special projects, often of a highly confidential nature.
Propose new procedures to enhance the efficiency of HR operations and to improve the overall caregiver experience.
Performs other duties as assigned.
